Re: Executive Council Meeting/Presidents’ Conference – March 2018
The referred meetings will be held at the Chateau Laurier Hotel at 1 Rideau Street, Ottawa as follows:
- Council Meeting:
Arrive March 19
Meet March 20 from 9 a.m. to 5 p.m. MacDonald - Mezzanine
Meet March 21 from 9 a.m. to 5 p.m.
Meet March 25 from 9 a.m. to 12 noon Ballroom - Ground Floor
Depart March 25 after 12 noon
Council Members, please send your reports, motions, agenda items, and supporting documentation by no later than Monday, February 12thto Sylvie Bastien at basties@ute-sei.org.
- Presidents’ Conference:
Arrive March 21
Meet March 22 Regional Caucus - morning RVP to advise location
Meet 1:15 p.m. to 5:00 p.m. Ballroom - Ground Floor
Meet March 23 9:00 a.m. to 5:00 p.m.
Meet March 24 9:00 a.m. to 5:00 p.m.
Depart March 25
Local Presidents, please send your agenda items, *motions and supporting documentation by no later than Friday, February 16 to Sylvie Bastien.
A short summary of your discussion items is required. The summary will be transcribed in the minutes as submitted.
An advance cheque will be mailed to you on a separate cover. All other monies owed will be paid at the conference if an expense claim is submitted prior to 11:45 a.m. Friday, March 23rd. For claims received after that deadline, a cheque will follow in the mail.
Hotel reservations have been made at the Chateau Laurier. For any changes with your reservations, please contact Sister Sylvie Bastien at (613) 235-6704.
**OBSERVERS
Locals who wish to bring observer(s) to the Presidents’ Conference are required to email the name(s) directly to Sister Bastien by Friday, February 16. Reservation requests received after this date will be subject to hotel space availability.
You are reminded that the Presidents’ Conference ends at 5:00 on Saturday. All delegates are required to stay until the official adjournment. Any early departures that are not approved by the President or Vice-President responsible for finance may result in the loss of per diem.
* Locals are requested to send their motion(s) in advance to ensure translation and distribution in each participant’s conference kit.
** Sister Bastien will reply to each reservation received by email to ensure that all observers are registered and that accommodation is made accordingly. Please contact her if you do not receive a reply.
Also, please be reminded that all UTE events are scent free.
