Re: Convention Accommodations – Hyatt RegencyAs you are aware, we have negotiated and entered into an agreement with the Hyatt Regency for accommodations at our upcoming Convention in July. While we have asked Locals to manage the accommodation needs of their delegates and observers through our office, it has come to our attention that some Locals have contacted the hotel directly to reserve rooms. In making these reservations, some Locals or individuals have been able to secure a lower room rate by stating they are travelling on government business. As a result, the Hyatt has now contacted us about this matter and has advised that whenever they observe a duplicate booking by our office and an individual or Local, they will cancel the latter reservation and will charge the rate negotiated with UTE. They have also reminded us that their agreement with the Government of Canada covers only those who are travelling on authorized government business and that our Convention does not constitute government business. Consequently, we caution Locals and individuals against this practice. In any event, however, we must advise you that should reservations be made directly with the hotel, our office will accept no liability nor will we intervene with the hotel should problems arise. In addition, if Locals or individuals have reserved directly with the hotel and have indicated on their credential forms that accommodation is required, they must either cancel their direct reservation or advise our office that they no longer wish for us to arrange for accommodations. Additional costs incurred as a result of duplicate reservations related to this matter shall be the sole responsibility of the Local or individual.
